10 Components of Expectations Mapping Matrix

 

In my previous article, I have talked about some of the reasons why you need to understand what stakeholders really want as far as the project is concerned. I have also talked about some of the reasons why you need to understand stakeholders’ expectations for your project. In this article, I want to talk about the ten components of the stakeholders’ expectation mapping matrix. Follow me as we look at that together in this article.

 

Here are the components…

 

#1 Expectations

The expectations describe the expectations that are to be met by the project. Having the expectations in place will allow the project manager to know what Is and what is not part of the project. This will also ensure that stakeholders are satisfied at the end of the project.

 

#2 Validation and signoff

The expectations mapping matrix also consists of validating and signoff criteria which are used to measure the progress when the activity is complete or when the expectation is met. This is usually conducted by the person who defined or provided the expectation.

 

#3 Priority

You also need to prioritize the level of importance and resources that are assigned to meet the expectation using an appropriate scale of measure for the project.

 

#4 Process to meet the expectation

The document will also list some of the processes that needed to be followed in order to meet the expectation of the stakeholders. This at times will be based on what discussed with the stakeholders and Subject Matter Experts and other stakeholders concerning the project requirements.

#5 Responsibility for process

The document will also list the names and roles of people who are responsible for ensuring that the processes and methods defined to meet expectations are being performed. This will also ensure that roles are shared among team members. It ensures everyone participating in the project knows the roles that they need to perform in order to achieve the project objectives.

 

#6 Goals as part of expectations mapping matrix

The document is also used to set goals for the project. These goals are the key success factors that will be used to determine whether the project was a success or not. All these goals have to be listed so that those objectives are delivered at the end of the project.

 

#7 Reporting progress

This also lists the name and role of the person responsible for reporting the progress of meeting the expectations against the standard measure. The progress has to be reported at regular intervals so that the project manager can report deviations and what needed to be done in order to cover some of the lapses discovered.

 

#8 Schedule frequency

The document is also used to determine the frequency of reporting and communicating progress against the measurement criteria. I remember the time that Nigeria was constructing the Lagos / Ibadan light rail. There was a time that the Minister of Transport had to increase the time of inspection to two times a month because they needed to meet with some deadlines. That was maintained for a while before Coronavirus came and scattered the arrangement again.

 

 

#9 Current rating as part of expectations mapping matrix

This also captures and identify the current progress towards meeting the expectation. With it, it is very possible for the organization to determine the phase at which the project has to move in order to achieve the desired goals of the organization. This will allow the project manager and the project team to make the necessary adjustments in order to achieve the project goals.

 

#10 Process to meet the expectation as part of expectations mapping matrix

This also lists the processes and methods used to meet the expectations. It also discusses some of the processes that are in place in order to achieve the objectives of the project. This will enable the organization and the project manager to do the needful in order to achieve the objectives of the project.
