4 Major Tools And Techniques For Define Activities

 

 

In my previous articles, I have talked about some of the inputs of define activities for projects, in this article, I will want to look at some of the tools and techniques that can be deployed when you need to define activities that are needed to be done in order to achieve project objectives. Follow me as we look at four of these tools in this article.

#1 Expert Judgement 

One of the best ways to define activity is to involve a Subject Matter Expert. You need to understand that being a project manager does not need to understand every aspect of a project but he needs to engage stakeholders in all the activities. They have to understand all the activities that must be performed when the project will be executed. They will assist him in defining all the activities that are required for the project to be a success. 

 

 #2 Decomposition

Decomposition is a technique used for dividing and subdividing the project scope and project deliverables into smaller, more manageable parts. Activities represent the effort needed to complete a work package. The Define activities process define the final outputs as activities rather than deliverables, as done in the Create WBS process. 

 

The activity list, WBS and WBS dictionary can be developed either sequentially or concurrently, with the WBS and WBS dictionary used as the basis for the development of the final activity list. Each work package within the WBS is decomposed into the activities required to produce the work package deliverables. Please note that involving team members in the decomposition can lead to better and more accurate results.

 

#3 Rolling wave Planning

Rolling wave planning also known as Progressive elaboration is an iterative planning technique in which the work to be accomplished in the near term is planned in detail while work further in the future is planned at a higher level.

 

It is a form of progressive elaboration applicable to work packages and release planning when using an agile or waterfall approach.

 

Therefore, work can exist at various levels of detail depending on where it is in the project life cycle. During early strategic planning when information is less defined, work packages may be decomposed to the known level of detail. As more is known about upcoming events in the near term, work packages can be decomposed into activities. 

 

#4 Meeting

Meeting is another tool that can be used to define activities for a project. With it, team members. project manager and stakeholders can come together and decide on the flow of a project based on the prevailing factors in a project. 

 

Meetings for projects can be face-to-face, virtual, formal or informal. It may also be held with team members or subject matter experts to define the activities needed to complete the project.
